Scheduling a Report
You can schedule a report so that you receive it at specific intervals. For example, you can receive a week ending sales report every week at the same time. In this case you want the report first thing in the morning the day after your company week ends. Additionally, you can send the report to one or more users.
Creating a Delivery Schedule for the Report:
1.
Select Aloha Insight > Reports Viewer.
2.
Select the category of the report in the ‘Category’ drop-down list.
3.
Select the report you would like to send to the Portal in the ‘Reports’ list box.
4.
Click Next.
5.
Select Use Selected Stores. Refer to Store Selection for more information.
6.
The ‘My Home’ and ‘Selected’ options require you to make additional selections. Refer to Store Selection for more information.
If you select ‘My Home,’ you must choose an area, region, store, or store group from the ‘My Home’ drop-down list.
If you select ‘Selected,’ you must complete the following steps:

Click the Report Settings tab.

Select Use Selected Date Range and then select the predefined date range from the drop-down list, or select Use Custom Date Range to enter a specific range of dates in the ‘Start Date’ and ‘End Date’ text boxes. Refer to Report Settings tab for more information.

Select Email the Report at a Defined Schedule to schedule the report. You can also select any of the following additional options in Report Send Options:

Type a unique, meaningful name for the report in the ‘Report Name’ text box.

Select List Stores Separately to list each store individually on the report. This check box is optional and may not be present when scheduling some reports.

Select List Dates Separately to list dates separately on the report. This check box is optional and may not be present when scheduling some reports.
You may have additional selections based on the report you are running, such as selecting categories for a menu mix report.

Click the Report Schedule tab.

Select Schedule Report on the Report Schedule tab.

Select the hour and minutes for the report to run, using a 24-hour clock, from the ‘Run Report at’ drop-down lists.

Select a time zone. This setting overrides the ‘Default Time Zone’ setting in Company Setup.

Enter the start date and end date for the report to run. Type the last date you want the report to run in the ‘End Date’ text box.

Select the delivery frequency of the report. When you select an option, it enables additional selections that pertain to the scheduling interval for the report.
19.
Select either Send Report to Me or Send Report to Other Users.

Creating a Subscriber Group:
1.
Click Subscribers to define the subscriber groups to receive the report. The Subscriber Group wizard appears.
If you need to create a new subscriber group:
a.
Click Add.
b.
Type the name of the new subscriber group in the text box.
c.
Click Next and continue with step 3.

Select the subscriber groups.

Select the subscriber in the ‘Subscribers not in this Subscriber Group’ list box and use the arrows to move the subscriber to the ‘Subscribers in this Subscriber Group’ list box. Continue until you add all subscribers.
4.
Select Base the Stores Reported on the Subscribers Security Class to use the security class of the subscriber to determine the report the subscriber receives and the stores included in the report.
You should verify the report is available to the security class of the user receiving the report. Check the reports assigned to a security class in Security Class Setup wizard.
5.
Click Save on the Subscriber Group screen to return to the Report Schedule screen.
6.
Click Save.
7.
Click OK on the Confirmation screen.
Viewing a List of Scheduled Reports
Before creating a new schedule, generate the ‘Scheduled Reports List’ to determine if you need to create a new schedule for the report or modify an existing schedule.
To view a global list of scheduled reports:
1.
Select Reports Viewer on the main Aloha Insight Welcome screen.
2.
Select Audit from the ‘Category’ drop-down list.
3.
Select the Scheduled Reports List in the ‘Reports’ list box.
